ZLH Studios – Terms & Conditions

By enrolling your child in a ZLH Studios club/class, you acknowledge that you have read, understood and agree to these Terms & Conditions.
1. Registration
• All bookings must be completed through the ZLH Studios booking system.
• A child’s place is only confirmed once registration has been completed and payment has been received (where applicable).
• Places are allocated on a first-come, first-served basis.
• ZLH Studios reserves the right to refuse or cancel a booking where necessary.
2. Payment
• All fees must be paid in full before the club commences unless otherwise agreed in writing.
• Failure to make payment may result in your child’s place being withdrawn.
• Fees are non-transferable and cannot be transferred to another child, club or term unless agreed by ZLH Studios.
3. Attendance
• Parents/carers should notify ZLH Studios if their child is unable to attend.
• Refunds, credits or replacement sessions will not be provided for sessions missed due to illness, holidays, appointments or other personal circumstances.
• Children should arrive promptly at the designated collection point as instructed by the school.
4. Collection
• Children will be dismissed in accordance with the school’s/class collection procedures.
• Parents/carers must collect children promptly at the end of each session.
• ZLH Studios reserves the right to charge a late collection fee where repeated late collection occurs.
• Continued late collection may result in a child’s place being withdrawn.
5. Behaviour
• ZLH Studios promotes a positive, respectful and inclusive environment.
• Children are expected to behave respectfully towards staff, other children and school property.
• Bullying, aggressive behaviour, discriminatory language or behaviour that places others at risk will not be tolerated.
• If a child’s behaviour is deemed unsafe or persistently disruptive, ZLH Studios reserves the right to remove them from the club without refund.
6. Medical Information
• Parents/carers must provide accurate medical information, allergies, additional needs and emergency contact details during registration.
• It is the responsibility of parents/carers to keep this information up to date.
• By accepting these Terms & Conditions, parents/carers authorise appropriately trained ZLH Studios staff to administer basic first aid where required and to seek emergency medical assistance if considered necessary. Every reasonable effort will be made to contact the emergency contacts provided.
7. Safeguarding
• ZLH Studios is fully committed to safeguarding and promoting the welfare of children.
• All staff hold appropriate safeguarding training and undergo the relevant pre-employment checks, including enhanced DBS checks where required.
• All sessions operate in accordance with ZLH Studios’ Safeguarding and Child Protection Policy.
8. Photography & Video
• Photographs or videos may occasionally be taken during sessions for promotional, educational or marketing purposes.
• Images will only be used where parental consent has been given during registration.
• Consent may be withdrawn at any time by contacting ZLH Studios in writing.
• Children without photo consent will not knowingly appear in promotional material.
9. Cancellation by Parents
• Cancellation requests should be made in writing.
• If cancellation is requested before the club begins, a refund may be offered at the discretion of ZLH Studios.
• Once the club has started, refunds or credits will not normally be given except in exceptional circumstances.
10. Cancellation by ZLH Studios
ZLH Studios reserves the right to cancel or amend sessions due to circumstances including but not limited to:
• staff illness;
• severe weather;
• school closure;
• low enrolment;
• venue issues; or
• circumstances beyond our reasonable control.
Where possible, an alternative session, credit or refund will be offered.
11. School Closures
If a session cannot take place due to school closure or circumstances beyond the reasonable control of ZLH Studios, every effort will be made to reschedule the session. Where this is not possible, refunds or credits will be considered at the discretion of ZLH Studios.
12. Personal Belongings
• Children should avoid bringing valuables to club sessions.
• ZLH Studios accepts no responsibility for lost, stolen or damaged personal belongings.
13. Health & Safety
• Children should wear suitable clothing and footwear appropriate for physical activity.
• Parents/carers should not send children to club if they are unwell or have a contagious illness.
• ZLH Studios reserves the right to refuse participation where a child is considered too unwell to safely take part.
14. Liability
• ZLH Studios will take all reasonable steps to ensure the safety and wellbeing of participants.
• Participation in physical activity carries an inherent level of risk.
• Nothing within these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or any liability that cannot legally be excluded under English law.
15. Data Protection
• ZLH Studios processes personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
• Personal information is collected solely for the administration and safe operation of our clubs.
• Information will only be shared where necessary, including with the host school or emergency services where safeguarding or health and safety requires it.

16. Changes to Terms & Conditions
ZLH Studios reserves the right to amend these Terms & Conditions at any time. The latest version will always be available on our website and will apply to all future bookings.
